Privacy Policy

1. Introduction

DarkoniX Limited (“DarkoniX”, “we”, “us” or “our”) is committed to protecting the privacy and security of personal data. This Privacy Policy explains what personal data we collect, how and why we use it, our lawful bases for processing, who may process it on our behalf, how long we retain it, your rights, and how to contact us. DarkoniX is the data controller for personal data collected through this website and its contact form.

Company details: DarkoniX Limited, 124 City Rd, London EC1V 2NX. Registration Number: 16430077. Website: https://www.darkonix.co.uk. Privacy contact: info@darkonix.co.uk. This policy applies to website enquiries. Personal data processed as part of a client engagement may also be governed by separate contractual terms.

2. Personal Data We Collect

When you contact us through the website, we may collect your full name, business email address, phone number, organisation or firm, details of what you would like to discuss, and information you provide in your message. Technical information may also be processed by the website platform or security controls, including IP address, browser and device information, and security, anti-spam and abuse-prevention signals. We do not intentionally request special category data through the contact form. Please do not include sensitive personal information unless it is necessary for your enquiry.

3. How We Use Personal Data

We use personal data to respond to enquiries and arrange introductory calls; understand and manage potential business relationships; maintain appropriate business records; protect the website and prevent spam, abuse and fraud; and comply with legal and regulatory obligations. We do not sell personal data or share it with third parties for their own marketing. We do not currently send mass marketing emails or newsletters.

4. Lawful Bases for Processing

Depending on the purpose, we rely on one or more of the following lawful bases: legitimate interests for responding to enquiries, managing business relationships, maintaining records and protecting the website; steps at your request before entering into a contract; legal obligation where processing is necessary to comply with the law; and consent where we specifically ask for and obtain it. Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect processing carried out before consent was withdrawn.

5. Website Hosting and Service Providers

Our website is hosted and delivered through Framer. Framer may process technical information and, depending on the form configuration, contact-form submissions. Our business email is provided through Microsoft 365. Contact-form submissions may be transmitted to and managed through this email service. We may use other service providers where necessary to operate the website, receive enquiries, maintain security or provide our services. These providers may process personal data only for the relevant business purpose and under appropriate contractual arrangements. For more information about Framer’s handling of data, see its Privacy Statement at framer.com/legal/privacy-statement.

6. How We Protect Personal Data

We use reasonable technical and organisational measures to protect personal data, including HTTPS and TLS encryption for data in transit, access-controlled business email systems, restricted access to enquiry information, security and anti-spam controls, and regular review of the information we hold and how it is handled. No method of transmission or storage is completely secure, but we take appropriate steps to reduce the risk of unauthorised access, loss, misuse or disclosure.

7. Data Sharing and International Transfers

We may share personal data with website hosting and form-processing providers, business email and communication providers, security and anti-abuse service providers, professional advisers where necessary, and regulators or law enforcement authorities where required by law. Some service providers may process personal data outside the United Kingdom. Where this occurs, we use an appropriate lawful transfer mechanism and safeguards required by UK GDPR. We do not share personal data with third parties for their own marketing or commercial purposes.

8. Data Retention

We retain personal data only for as long as necessary for the purpose for which it was collected. For website enquiries, retention depends on the time required to respond to and manage the enquiry, whether an ongoing business relationship develops, whether the information is needed for legal, regulatory or accounting purposes, and whether it is required to establish, exercise or defend legal claims. When personal data is no longer required, we securely delete it or anonymise it where appropriate. Copies held in provider backups may remain for the provider’s standard backup cycle.

9. Your Data Protection Rights

Subject to applicable legal conditions, you may have the right to access your personal data, request correction or erasure, request restriction of processing, object to processing based on legitimate interests, request data portability where applicable, and withdraw consent. To exercise your rights, email info@darkonix.co.uk. We may need to verify your identity before responding. We normally respond to valid requests within one month, subject to any lawful extension or exemption. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.

10. Cookies and Tracking

We do not intentionally use advertising, analytics or marketing cookies on this website. Framer or other website security services may use strictly necessary cookies or similar technologies to operate the website, protect against abuse and maintain security. If we introduce non-essential cookies, analytics or tracking technologies, we will update this policy and provide any consent mechanism required by law.

11. Personal Data Breaches

We maintain procedures for identifying, investigating and managing personal data breaches. Where a breach is notifiable, we will notify the Information Commissioner’s Office without undue delay and within 72 hours of becoming aware of it, where required. We will notify affected individuals where the law requires us to do so.
